AGM 2025
RBL, Hall Croft, Beeston
Wednesday 15 October 2025
Every year, members nominate to be elected to form the committee team who look after the running of the Society on behalf of its members. The executive roles consist of Chair, Vice Chair, Treasurer, and Secretary. There are other members who don’t wish to be any of things, but who want to help fulfil all the essential tasks the Society has to cover, such as: Membership, Design, Events, Safeguarding, Planning + Heritage team lead, and looking after our social media channels. Find out more about being a part of our friendly team here.
Members receive a Member’s Pack seven days before the AGM.
Please send a note of any other business you would like raised by 7th October to secretary@beestoncivicsociety.org.uk
If you would like to join the committee team, please nominate yourself.
You must be a current member of the Society, and over 18.

Our Recent Work
More recently we have supported the Southern Broxtowe Blue Plaque Group, Beeston Street Art, the Standing in this Place sculpture, Beeston Light Night 2025, Beeston Library of Things, Beeston Repair Cafe, Incredible Edible Beeston, and Greening Beeston.
Anyone can attend our meetings, events and the AGM but only members are able to vote or take up Executive or general Officer roles on our Committee.
If you’re not yet a member but care about Beeston; enjoy and appreciate our work – please do join now, and invite your friends – and stand to help us continue the work we started in 1973.
What’s Involved?
Executive Committee Officers are responsible for the operational running of the Society: managing membership, finances, and our charitable status; scheduling meetings and our programme of events for members and the general public; liaising with third party authorities, businesses and individuals; keeping records, documents and minutes of meetings. Executive members vote on motions within Committee Meetings.
The Executive Committee is supported by General Officers in the Committee, elected to provide assistance, experience or expertise. So if you have an area of expertise, or would like to share your skills – whether in administration, communication, event planning, Planning Application monitoring, the built environment, membership management, graphic design, copywriting, accountancy, charity funding, content creation, photography, or greening / environment issues… and many other – you can stand as a General Officer.
General Officers can also be people invited to stand from local projects which strike a balance with the Society’s ethos and objectives – such as greening, Street Art, or heritage. Get in touch if you’d like to be invited.
Meetings
We generally have one Committee meeting per month (early evening, but we accommodate to the benefit of all involved); periodic Editorial meetings, and an Annual General Meeting every year. No one is obliged to undertake any responsibility they don’t want – we are all volunteers!
To find out about what’s involved in a Civic Society, check our Constitution – or simply get in touch.
Appendix 1
Appendix 1 Revised Constitution Sections:
10. Committee: Executive, and Officers
All fully paid-up members of the Society shall be eligible for election, save those holding political office within the area of benefit.
Nominations for committee members shall be made at least 7 days before the AGM. Such nominations shall be supported by a seconder and the consent of the proposed nominee must first have been obtained.
If the nominations exceed the number of vacancies, a ballot shall take place in such a manner as shall be determined.
For the sake of continuity, executive committee members shall be elected for a period of 3 years. Committee Officers shall be elected annually and all may stand for re-election.
The Executive of the Society shall consist of:
● Chair
● Vice Chair
● Honorary Secretary
● Honorary Treasurer
Up to a further 8 persons shall be elected to serve as committee members, all of whom shall relinquish their office every year and shall be eligible for re-election at the AGM.
The executive committee shall have the power to fill casual vacancies occurring among the officers of the Society and to co-opt such persons as it feels fit. Officers who relinquish their office and do not seek or succeed in re-election will be encouraged to remain in post for two months to affect a smooth transition.
14. Expenses of administration and application of funds
The executive committee shall, out of the funds of the Society, pay all proper expenses of administration and management of the Society. The executive committee shall authorise and manage such bank accounts and investment in furtherance of the aims and objectives of the Society.
Online accounting shall be in place on all our bank accounts and the Treasurer shall make financial transactions as directed by the executive committee or General Meetings of the Society.
Subject to the above rules regarding transfer of monies to and from accounts, the executive committee shall authorise the treasurer in concert with any committee member to expend sums up to a maximum of £150 in any single transaction.
The executive committee shall be authorised and entitled to expend or put at financial risk amounts in a single transaction over £150 but not exceeding one-third of the Society’s total funds. Authorisation for transactions and project risk amounting to more than one-third of the Society’s total funds shall require agreement of the whole Committee.
After the payment of the administration and management expenses and any setting aside to reserve such sums as may be deemed prudent, the remaining funds of the Society shall be applied by the executive committee in furtherance of the purposes of the Society.
